Dear Coaches,

The Asheville Regional Tournament at UNC-Asheville is approaching quickly and will be held on March 15, 2008. Registration will be handled exactly how it was handled last year (for returning coaches).

Attached to this e-mail you will find an official team roster in pdf format. On the morning of the tournament, each coach must turn is an official team roster for each team. Each school participating this year has up to 2 teams competing at Asheville's Regional Tournament: one Varsity team and one Junior Varsity team. The official team roster that is attached is an editable PDF and must be filled out for each team a school has participating. This means if a school has two teams then the school's coach must fill out one official team roster for his/her Varsity team and another official team roster for his/her Junior Varsity team (and so on). Directions for this editable PDF are on the form. Do NOT print out this form and fill it in by hand. Edit it from your computer then print it. If you have a change to the roster on the Saturday of your tournament then you can cross out a name and manually insert it. Otherwise, all forms should be turned in just as requested on the directions to this form. If you have troubles with the Adobe Acrobat form, please download the most current version of Adobe Acrobat and then try opening and editing the document again.

In the coaches packets that you receive after you register on site at your Regional Tournament will be wristbands that all participants must wear if they want to compete. The wristbands will be color-coded as well as labeled by type of team. The wristbands will be colored and labeled
as follows:

Red - NCSO Varsity
Yellow- NCSO Junior Varsity 1

The colors will help Event Leaders identify which teams are Varsity or Junior Varsity and the text on the wristband will help students know which team they are on since many times students do not know if they are Varsity or Junior Varsity. It is very important for your students to know what team they are on if your school has more than one team. We hope that the wristbands will help this issue.

Every Regional Event will have cover sheets that students must fill out and turn in with their completed event. An Example of this coversheet is attached to this e-mail. Please go over it with your students and stress the importance of writing LEGIBLY and knowing which team they are on. This will help us out a lot. These cover sheets will be provided by the event leaders. We are attaching them so that students will know what to do when they see them. DO NOT COPY COVER SHEETS AND HAVE STUDENTS BRING THESE TO THE EVENT WITH THEM.

Also attached to the e-mail is our Vandalism and Behavior Policy and Video/Photo Release form. These must be brought and turned in at Registration along with your Official Roster Forms. Your team will be unable to compete without the roster, a signed vandalism and behavior policy, and Video/Photo Release forms completed and signed by parent/guardian for every student on your roster. PLEASE GO OVER THE VANDALISM AND BEHAVIOR POLICY WITH YOUR STUDENTS, PARENTS, AND GUESTS!

Please e-mail your Regional Director,Cathy Whitlock, if you have any questions or concerns.

We look forward to seeing you at the tournament.

Regards,
Brian

Dear Coaches,

Our big day is drawing near!  I hope that SO practice is going well and that you have had a chance to enjoy some of our recent warm weather.

I am going to include lots of basic information in this e-mail, but I'm certain that this will not cover everything.   Please feel free to send me your questions and concerns, and, if appropriate, I will respond to the whole group.

1.  Directions to Campus:  The following link will take you to a map and driving directions to campus.

2.  Parking and Campus Map:  Our on-line campus map has been recently updated to include the new Zeis Science building and a couple of parking lots that were closed due to construction last year.  http://www.unca.edu/campusmap/   Buses should park in lot 7B and cars in lot 7A.  Coaches should check in at the first floor lobby of Rhoades/Robinson.   For the veteran coaches, this is the same building that we used last year.  The new science building isn't open for business yet.

3.  Registration is from 8:00 – 9:00, and the registration table is on the first floor lobby of Rhoades/Robinson.  (If you climb the giant stairwell in front of the Zeis science building- "the stairway to heaven" - and bear left, you will be see the entrance to the first floor of Rhoades/Robinson.)   If you arrive before 8:00, your homeroom classrooms may not be open yet, and the registration team may not be ready to serve you.  There will be coffee and doughnuts available for coaches and other volunteers near the registration table.

3.  Homerooms:  Every team has been assigned a classroom that you may use as a home base during the day.  (I have attached a list for those of you who want to drop team members while you register.)  Many teams meet in their homerooms for lunch.  Unfortunately, we cannot issue keys to classroom doors, so if your team members want to leave some of their stuff in your homeroom during the day, then you might want to let a couple of parents take turns guarding the goods.

4.  Event Schedules:  The event schedules for the middle school division (B) and the high school division (C) are attached.  Room numbers are included.  Please note that some of the events that normally take place in the Health and Fitness center had to be relocated this year.  The Southern Conference women's basketball tournament is being held on the same weekend as our tournament.  (This decision was made long after we had to pick our tournament date.)  We begged and pleaded in order to be allowed to use the HFC for our high school airplane events.  The "Flying Bird" and "Wright Stuff" events are the only events that will be held in the HFC.

5.  Lunch:  You may have noticed that there is a lunch period offered this year from 11:45- 12:45.    In past years, many teams have opted to bring their own lunches and meet in their homeroom classrooms for lunch.  Some teams also use this time to go to one of several fast food restaurants on nearby Merrimon Avenue.  You may also eat at the UNCA cafeteria.  Lunch at the cafeteria costs $6.48 (tax included)  and is "all you can eat".  In case some of your kids run out of junk food, there is also a convenice store on the bottom floor of Highsmith Student Union.  It is called Rocky's convenience store.

6.  Impounding:  The only events that require "impounding" this year are listed below.  Students should take their cars, robots, and "trajectors" to the room where these events takes place.  See the attached schedule.  The impounding period is from 8:15 to 9:00.
Division B:  Scrambler, Trajectory, and Robo- Cross
Divison C:  Electric Vehicle

 7.  Watch for more e-mails & check the website:  Chances are very good that some of our event leaders will come to me in the next week with specific event information to be passed along to coaches.  I will send this information out as soon as I get it.  Meanwhile, be sure to check the NC science olympiad website for event clarifications.  Jason Painter, our fearless state director, updates this site after each regional tournament.  One of the advantages of having our tournament in March is that we get to benefit from the mistakes others have made before us.

8.  Judy is in Chile! :   Yes, you read that correctly.  Judy Beck is in Chile this year teaching physics en Espanol.  So for now...please send all your science olympiad related questions and concerns to me and/or Laura Walters.  (lwalters@unca.edu)  Senora Beck should be back in time for our regional tournament in 2009.  If she threatens to stay another year, Laura and I have planned an invasion/kidnapping.

Thanks for all that you do!  Please send us your questions.
Cathy Whitlock and Laura Walters

Dear Science Olympiad Coaches,

Greetings from Asheville regional headquarters!  I hope you are all having a happy fall and that your students’ thoughts are beginning to turn to Flying Birds and Tower building.

The Event Schedules for our region are posted above.  Unlike the state, we do have a lunch period.  We are also running the Junk Yard Challenge (High School only) at a different time.  We will have JYC Students build their device during the second event period (10:30 – 11:30).  These students may then sign up for a 15 minute time slot to test their device later in the afternoon.

Let us know if you have any questions!

Cathy, Judy, and Laura
