Dear Coaches and Parents,
Let me take this opportunity to thank all of you for your dedication and hard work throughout this NC Science Olympiad Season. It has been an honor and a privilege to work with all of you during this past year. Congratulations on advancing to the State Tournament and I wish you all the best of luck in the competition that will be held April 4-5, 2008. I have met many of you and hope you will take time to come up to me and introduce yourself at the State Tournament. I would love to thank you personally for all you are doing for the children at your school and the North Carolina Science Olympiad..
We are working hard to make the State Tournament the best it has ever been. We believe the most important aspect of any Olympiad tournament is the quality of individual events. We have 200 volunteers ready to work with you and your students during the State Tournament. All the event leaders are professionals and have experience running events at Science Olympiad tournaments. I am supremely confident that EVERY event will run well and that students will be pleased with their experience at this year's State Tournament. Event Leaders are expecting the best of the best, so I hope your students are prepared for exciting and challenging events! Please have your students and parents take the time to thank volunteers for their time and volunteering for the NC Science Olympiad.
For the third year in a row we will be honoring two teams (one B Division and one C Division) with the Julian Brown Spirit Award. Each event leader will nominate a school from their event that they believe exhibits the "spirit" of Julian Brown and the North Carolina Science Olympiad. We, the tournament leaders, will also be paying close attention to the attitudes, behavior, excitement, t-shirts, face paint, and "put others first" mentality in all teams during events and during opening and closing ceremonies. PLEASE make sure your students and guests display GREAT sportsmanship at all times! Encourage them to really show their spirit during both Ceremonies.
It is incredibly important that we respect the classrooms, buildings, and gymnasiums we use at N.C. State University. We had some very unfortunate behavior a couple of years ago that reflected extremely poorly on the NC Science Olympiad and all participating schools. Please make sure all trash is deposited in a trash can or a trash bag. DO NOT allow students to run halls wildly or to be unsupervised. Other classes, meetings, and university activities go on at the same time that our events take place so we MUST respect their rights to quiet and order. Any student or visitor from any team found not respecting the University and all personnel associated with the tournament will be for immediate disqualification of the entire team from the State Competition. Attached to this e-mail, you will find our Vandalism and Behavior Policy. Please make sure that all your team members, family members, chaperones, guests, coaches, etc.have read the Vandalism and Behavior Policy. ALL team members, the head coach, and principal MUST sign this form and it MUST be turned in at Registration if the school plans on participating in the State Tournament. We have hired building monitors this year to look for any misbehavior and poor conduct.
Hopefully we will have NO arbitrations this year, but with 46 events there will always be problems, questions, etc. that may arise. Please let all your parents know that ONLY students are to ask questions of the event leader. Also, make them aware that they should not be talking to their children while they are competing. This goes for coaches as well. Do not interfere with events. The time for coaching ends once they enter the event area. If a parent or student has a question about something after an event then they should talk to the HEAD COACH. The head coach can then come to Room 123 in Reynolds to arbitrate or write an appeal for an event. Tournament officials will only speak to Coaches NOT parents or students. Any disrespect, poor language, or discourteous behavior to an Event Leader or tournament official will be grounds for disqualification of the team from the tournament. We expect all personnel involved with the tournament to treat you with respect, if for some reason this does not occur, please bring this to my attention.
Also attached to this e-mail is a Photo Consent form. Please send this home with every student and have them and their parents sign the form. We would like to use pictures that we take during this event for promotional purposes. Bring these to registration along with your Vandalism and Behavior form.
ALL TEAMS are expected to arrive on Friday to REGISTER for the NC Science Olympiad. We are not set up to do registration on Saturday mornings. Only in extreme circumstances will we register a team on Saturday morning. Please arrive on Friday b/w 2:00 - 5:00 pm to make sure you get registered and get any questions answered that you may have. Also, you and your students can enjoy the Physics and Chemistry Shows and NANODAYS during this time. Also, I encourages parents, coaches, and students to visit the Visitors Center to learn more about campus. Further, this is a great time to get familiar with event locations. I promise that you will be at a HUGE disadvantage if you do not arrive until Saturday.
Please be on time for the Opening Ceremony (a great place to judge spirit). Again, we expect ALL teams to be present. Please arrive by 6:00 pm so we can line up for the Parade of Champions. Coaches should may choose up to 4 students to have the honor of representing your school in the Parade of Champions. Go crazy!!!!!
Make sure you've printed off everything from the State Tournament website. I will be updating the traffic and parking page as the event nears. Please wait until the Thursday prior to the event to print everything in case changes are made between now and then. IT IS CRITICALLY IMPORTANT THAT YOU PRINT THIS AND FOLLOW IT CAREFULLY. MAKE SURE PARENTS READ THIS AS WELL. FAILURE TO FOLLOW GUIDELINES SET FORTH FOR PARKING AND TRAVEL WILL RESULT IN PARKING TICKETS for which we are NOT responsible. Please do not print schedules off the web to give to your students. Rooms changes last minute can really mess up students. It's best to just give students the schedules that will be placed in packets that you will receive when you register. Please pay careful attention to when and where impound takes place for events. Some events are impounded starting at 7:30 (morning impound events) and others not until 11:30 (afternoon impound events). This is expressly spelled out on the website.
PLEASE continue to read the State Tournament Headquarters page (http://www.sciencenc.com/Tournament_information/State_info/2008/index.cfm). This will update daily next week. Read, then re-read throughout the week. Print out everything on Thursday night before the tournament to bring with you in a notebook.
You (the head coach) should have received an e-mail regarding completing your ROSTER online yesterday. If you didn't then please let me know. For Division B Coaches, the only thing you need to do is to login and complete your roster. For Division C Coaches, you will need to login, complete your roster, AND sign up for Sounds of Music. Login and sign up will be available beginning at 5:00 pm tomorrow, Tuesday, March 25, 2008. If you did not receive a login and password then please let me know immediately.

The North Carolina Science Olympiad State Tournament will be held at North Carolina State University on April 5, 2008. On April 4, we expect all teams and participants to arrive between 2:00 and 5:00 pm to register. On Friday, students and teachers can enjoy Physics and Chemistry shows as well as experience NanoDays. Further, students and teachers can walk around campus, find event locations, and see what N.C. State has to offer its future students.
At 6:30 pm on Friday, April 4th, we will begin our opening ceremony by recognizing all teams that advanced to the State Tournament and our First Place Overall Winners. Each team may have 4 students represent them during the Opening Ceremony. Teams should bring signs and dress to show their school spirit during the opening ceremony. The students that will represent the team need to be in Reynolds by 6:00 pm to line up for the "parade of champions". All qualifying teams will be be called out in order by Team Number. All FPOWS will be introduced as a whole group after the teams are recognized.
We are working hard to keep all B Divions events on Main Campus and all C Division events on Centennial Campus. Unfortunately, C Division schools will need to have transportation to Reynolds coliseum for events held in Reynolds AND at the end of the day for the Awards Ceremony. Division B schools may need to figure out how to get Bottle Rocket students to the site by College of Textiles for that event. We have tried to find other locations for Bottle Rocket, but have been unsucessful to this point. We will let you know about the possibility of having Shuttle buses for these purposes, but it is highly recommended that you arrange your own transportation so that you don't rely on the buses.
Regarding, home bases. Schools should stake out a place in the upper level of Reynolds for their home base. Do NOT stake out unused space in buildings. This will result in an automatic disqualification for your school. Hopefully, it will be nice and you can set up outside if you don't want to be in Reynolds. C Divison schools should plan on setting up a place outside if you want to remain on Centennial campus. There are no extra rooms to serve as home bases.
Information regarding parking and unloading will be up soon. You must follow all rules regarding parking and unloading or again, your team will be disqualified.
